We at VNC are the designers, developers, testers and also first users of our VNClagoon products. Our team is working with our products productively in various departments, e.g. software development, project management, accounting, controlling and sales. Many new features of our products originated within our team.
Therefore, we’d like to share some hands on VNClagoon experiences within our team.
Ulrike Bernebée-Say, responsible for Human Resource and Accounting at VNC, about VNCproject:
I mainly use our project management tool VNCproject for Human Resource Planning, for the evaluation of team members and to check timesheets and invoices, which are based upon projects.
All our team members record their working time in VNCproject. This works great – regardless of where the team member is situated. From each part of the world on the device of choice, each team member can keep track of his/her work and of ongoing projects. VNCproject is browser-based and doesn’t need further installations.
With the help of tickets everybody is able to record his/her working hours and correlate the time spent to defined projects and activities. This shows transparently how much time has been spent on each project or task.
Therefore resources can be redistributed, tasks can be reassigned or work processes can be adapted if necessary.
I really like the great overview about each employee’s work that you have at your fingertips. With just a few clicks you can select the desired period and the respective employee from a dropdown menu. It is also helpful that the tickets for the selected period can be sorted by date, project, issue or user. So you can also select a complete team and see what exactly each team member contributed to a certain project or task.
This makes it easy to evaluate the work of a single person or the whole team.
The working hours of our team members are displayed in the timesheet module with a clear structure, showing the date of delivery, type of activity, corresponding project, ticket and comments. Furthermore, you have direct access – via a link from the ticket info shown in the timesheet – to detailed information about the status and requirements directly in the ticket.
An assessment of the employee’s work becomes possible and expected working time can be compared with the time and effort actually needed to solve a task or problem. It’s also possible to compare productive with collaborative work, like meetings and communication for example or billable with non-billable hours.
If you need to send a report or want to save the selected timesheet for later use, it is also possible to export the timesheet as PDF or CSV file.
VNCproject can be used as evaluation tool by HR, team management and management. On the other hand, every user can easily track his own working hours and adjust his planning to avoid overtime or minus hours.
I also work a lot with hourly rates in VNCproject.
In the Admin part of VNCproject you are able to easily define hourly rates for all employees and freelancers.
Those hourly rates can be adjusted in case of changes. They are not only showing the rate negotiated in the employee or freelancer contract but also include an extra Administration fee which covers all additional costs.
This, of course, has an influence on the decision of the project or product manager, when the workload for each team member is planned.
The evaluation of projects can be based on those hourly rates. Please see our Blog Post about Earned Value Management (EVM) to receive more detailed information.
